Information on Rights of Data Subjects Affected

As per Art. 15 EU General Data Protection Regulation (EU-GDPR), an affected person (data subject) has the right to cost-free information about whether personal data about themselves is being processed, and if so, which personal data these concern. In this respect, a copy of the data can fundamentally be demanded, provided this does not come within the scope of any statutory exceptions or the greater interests of a third party. In the event that the data are incomplete or incorrect, there is a right to rectification as per Art. 16 EU-GDPR.

Further right of data subjects affected include:

  • Art. 17 EU-GDPR: Erasure of one’s own personal data when one of the grounds listed there for deleting personal data occurs and there are no overriding legal grounds.
  • Art. 18 EU-GDPR: Restriction on processing of personal data when a ground named there applies.
  • Art. 20 EU-GDPR: Transmission of one’s own personal data to a provider (controller) when the processing occurs due to consent for same or on the basis of a contract.
  • Art. 21 EU-GDPR: For reasons of a particular personal situation, the data subject can have the right to object to processing of personal data that is legal otherwise.
  • Art. 22 EU-GDPR: Special rights are granted here to data subjects affected by automated individual decision-making, including profiling.

Information on Processing of Individual Items

Processing of log data (access data): When using the website, the access to the pages, whether the access was successful, the point in time of same, the data volumes transferred and the IP address of the accessing computer are collected for the recognition of errors. The storage of the IP address occurs in an abbreviated form, so that identification is either impossible or only possible with outlays and efforts that are disproportionate to the knowledge gained about the accessing connection. The processing only occurs internally and on the basis of Art. 6 Para. 1 f) EU-GDPR, whereby the legitimate interest lies here in the recognition of errors. The stored log data are erased automatically after 7 calendar days.

Account

A user account is required when using the non-public areas of the website, such as e.g. the study applicant and student management areas. In order to create an account, the following personal data are required and mandatory: Title, surname, first name, email address and a self-selected password.

Without the complete provision of the above-mentioned data, a user account cannot be allocated and in turn the non-public areas of the website cannot be used. The processing occurs on the basis of Art. 6 Para. 1 e) EU-GDPR for the purpose of restricting access to non-public, protected parts of the IPU Berlin website to registered users. The account data are not transferred to any third parties. Erasure occurs following the submission of an explicit deletion request by the user or when the account has not been used for more than 2 years.

Cookies

The non-public web applications use cookies, i.e. small data files with short texts, for technical processing purposes. Without cookies, e.g. when they have been deactivated in the browser for instance, the complete usage of the application is potentially not possible.

Contact Form

When using the contact form, the name, first name, country/state (if detailed), telephone number (if detailed) and the email address are processed. The processing occurs on the basis of Art. 6 Para. 1 e) EU-GDPR for the purpose of responding to the question posed in the contact form. Any forwarding of the data to a third party does not occur. The transmission to the university occurs via an SSL-encrypted connection, through which unauthorised viewing of same is significantly hampered.

Newsletter

We use Zoho Campaigns as a service provider for sending our newsletter. You will only receive email newsletters based on your personal consent, as well as in the context of a registration (double opt in). Analysis of user behaviour and cookies

Google Analytics
We use the analysis tool Google Analytics on our website. Provider of this analysis tool is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.
Google Analytics uses so-called "cookies". Cookies are small text files that are stored on your computer and thus enable an analysis of your use of the website. This analysis data is usually transferred to a Google server in the USA and stored there.
The legal basis for data processing is Art. 6 Para. 1 lit. f of the General Data Protection Regulation (GDPR), which enables us to process data in the event of a justified interest. Our legitimate interest in this case is to analyze user behavior in order to optimize our offer and our advertising.
We use Google Analytics exclusively with activated IP anonymisation in order to guarantee an anonymised recording of IP addresses (so-called IP masking). By activating IP anonymisation your IP address will be shortened by Google within member states of the European Union or in other contracting states of the Agreement on the European Economic Area before transmission to the USA. Only in exceptional cases is the full IP address transmitted to a Google server in the USA and shortened there. Google will use this information on our behalf to evaluate your use of the website, to compile reports on website activity and to provide us with other services relating to website activity and internet usage.
The IP address transmitted by your Internet browser as part of Google Analytics is not combined with other data from Google.
You can prevent the storage of cookies by setting your Internet browser accordingly. However, we would like to expressly point out that in this case it may not be possible to use all the functions of this website to their full extent.

Google Analytics Remarketing
Our sites use Google Analytics Remarketing features in conjunction with the cross-device features of Google AdWords and Google DoubleClick. The provider is Google Inc, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.
This feature allows Google Analytics Remarketing to link advertising target groups with the cross-device capabilities of Google AdWords and Google DoubleClick. In this way, interest-related, personalized advertising messages that have been adapted to you depending on your previous usage and surfing behavior on one device (e.g. mobile phone) can also be displayed on another of your devices (e.g. tablet or PC).
If you have given your consent, Google will link your web and app browser history to your Google Account for this purpose. In this way, the same personalized advertising messages can be displayed on every device on which you log in with your Google Account.
To support this feature, Google Analytics collects Google-authenticated user IDs that are temporarily linked to our Google Analytics data to define and create target audiences for cross-device advertising.

The data collected in your Google Account will only be aggregated on the basis of your consent, which you may give or revoke to Google (Art. 6 para. 1 lit. a GDPR). In the case of data collection processes that are not consolidated in your Google Account (e.g. because you do not have a Google Account or have objected to the consolidation), the data collection is based on Art. 6 para. 1 lit. f GDPR. The legitimate interest arises from the fact that the website operator has an interest in the anonymous analysis of website visitors for advertising purposes.

Google Tag Manager
Google Tag Manager is a solution with which we can manage so-called website tags via an interface (and thus integrate Google Analytics and other Google marketing services into our online offering). The Tag Manager itself (which implements the tags) does not process any personal user data. Google AdWords and conversion measurement
On the basis of our legitimate interests (i.e. interest in the analysis, optimisation and economic operation of our online offer in the sense of Art. 6 Para. 1 lit. f. GDPR), we make use of the services of Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA, ("Google").
Google is certified under the Privacy Shield Agreement and thus offers a guarantee of compliance with European data protection law (https://www.privacyshield.gov/participant?id=a2zt000000001L5AAI&status=Active).
We use the Google "AdWords" online marketing process to place ads on the Google advertising network (e.g., in search results, videos, websites, etc.) so that they are displayed to users who have a suspected interest in the ads. This allows us to display ads for and within our online offerings in a more targeted manner in order to present users only with ads that potentially match their interests. If, for example, a user is shown ads for products in which he or she is interested in other online offers, this is referred to as "remarketing". For these purposes, when our and other websites on which the Google Advertising Network is active are called up, a Google code is executed directly by Google and so-called (re)marketing tags (invisible graphics or code, also referred to as "web beacons") are integrated into the website. With their help, an individual cookie, i.e. a small file, is stored on the user's device (comparable technologies can also be used instead of cookies). This file records which websites the user visits, what content he is interested in and what offers the user has clicked, as well as technical information on the browser and operating system, referring websites, visit times and other information on the use of the online service.
Furthermore, we receive an individual "conversion cookie". The information obtained with the help of the cookie is used by Google to compile conversion statistics for us. However, we only know the anonymous total number of users who clicked on our ad and were redirected to a page with a conversion tracking tag. However, we do not receive any personally identifiable information.
User information is processed pseudonymously within the Google Advertising Network. This means, for example, that Google does not store and process the user's name or e-mail address, but processes the relevant data cookie-related within pseudonymous user profiles. This means that, from Google's point of view, the ads are not administered and displayed for a specifically identified person, but for the cookie holder, regardless of who this cookie holder is. This does not apply if a user has expressly permitted Google to process the data without this pseudonymisation. The information collected about users is transmitted to Google and stored on Google's servers in the United States.

Facebook Pixel
Our website uses the visitor action pixel of Facebook, Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA ("Facebook") to measure conversion.
This allows us to track the behavior of site visitors after they are redirected to the provider's Web site by clicking on a Facebook ad. This allows the effectiveness of Facebook advertisements to be evaluated for statistical and market research purposes and to optimize future advertising efforts.
The data collected is anonymous to us as the operator of this website and we cannot draw any conclusions about the identity of the users. However, the data is stored and processed by Facebook so that a connection to the respective user profile is possible and Facebook can use the data for its own advertising purposes in accordance with the Facebook data usage guidelines. This may allow Facebook to serve advertisements on Facebook pages and outside Facebook. This use of data cannot be influenced by us as the site operator.
The use of Facebook pixels is based on Art. 6 para. 1 lit. f GDPR. The website operator has a justified interest in effective advertising measures, including social media.

Personal Data

The processing occurs on the basis of Art. 6 Para. 1 b), c), e) EU-GDPR. The processing of data, which is regulated in the university’s statutes and regulations in terms of the scope and purpose, is required solely for the purpose of conducting education there and the data are collected on the basis of statutory authorisations. Any transferring of the data to third parties does not occur.

The transmission to the university occurs via an SSL-encrypted connection, through which unauthorised viewing of same is significantly hampered.
